This gives you access to a valid evacuation list at the touch of a button in the event of an emergency. This shows which people are currently present, which people are safely absent and in which areas of the company people present are most likely to be at the moment. If it is not possible to identify a person as a confirmed absentee, they will also be included on the list. In the event of an evacuation, you can use the evacuation list to see whether all employees are already at the assembly point. In the event of an emergency, it supports rescue personnel (incident commander, rescue service, plant security, etc.) in their work or in the targeted search for missing persons.

Data from various GFOS modules can be evaluated for up-to-date recording and evaluation of attendance. The highest priority here is time tracking software (clocking in and out of your employees), followed by access control (preferably in conjunction with people separation systems). However, simpler features such as logging in to the GFOS software or working time scheduling in accordance with the employee scheduling can also serve as a source of information, providing important details for the evacuation list:

  • exclude attendance (weekend work / non-working days / etc.)
  • Take absences into account (vacations / trainings / other events)
  • Room-, building- or location-related

By comparing the data this way, you can see who is likely to be on site at any given time and which employees' attendance can be ruled out with a clear conscience. This ensures that you act in the best possible way in emergencies.

Connection of room and visitor management

Use room and visitor management to evaluate personal access bookings for zones or rooms. The access readers at the entrances and exits of certain zones help you to determine which areas people are in. The anti-passback procedure prevents individuals from logging into the same zone more than once or being present in several zones at the same time. The system therefore provides accurate data for your evacuation list.

The visitor data stored in the system is also included in the evacuation list overview. They show which people should currently be on site. If visitor groups present have visitor IDs with the door unlocking function, the room monitoring system can be used to track even more precisely which areas they are currently likely to be in.

How reliable is the evacuation list?

GFOS cannot guarantee the completeness of the list. The information is only intended to support the evacuation measures. Various factors can influence the accuracy of the list, e.g. several people entering the premises with only one ID (the first person holds the door open), a power failure, forgotten time bookings, a login within the software in the home office and other factors. Nevertheless, the evacuation list provides you with an overview of people who cannot be identified as absent, so that you can focus your emergency measures on people who are actually at risk in an emergency.

Can I also use the evacuation management system for training situations?

Yes, you can generate a list for emergency drills in just a few clicks. The data from the software is available at all times. This means you are optimally prepared for an emergency and know how to use the evacuation list. In an emergency, you can provide even better support to the fire department and incident commander with information.

How often should companies carry out a fire drill?

Section 12 of the German Occupational Health and Safety Act states that security instructions must be "adapted to the risk development" and "repeated regularly". The Technical Rules for Workplace (ASR A2.3, Chapter 11) also state that "evacuation drills at intervals of 2 to 5 years" have proven to be effective in practice. However, this is at the discretion of the respective company. New employees or higher turnover rates may require more frequent drills. Ultimately, companies benefit from a routine approach to emergencies.
