Challenges

Factors That Pose a Challenge in Retail

Seasonal peaks, last-minute schedule changes, and a variety of work schedules make efficient time tracking in the retail sector nearly impossible without the right software solutions. It quickly becomes a time-consuming task - especially for HR and store managers - to track all shifts in a transparent, legally compliant, and flexible manner.

  • High proportion of flexible workers: Part-time, temporary, and seasonal workers are common in the retail sector. Different contract types and varying availability levels increase coordination effort.
  • Diverse work schedules: Different policies within a single location or across multiple branches can quickly make processes confusing.
  • Complex legal requirements: The Working Hours Act, break regulations, and record-keeping obligations must be strictly adhered to.
  • Error-prone manual processes: Paper lists or Excel spreadsheets create extra work, lack transparency, and significantly increase the risk of errors.
  • Dynamic scheduling: Irregular work hours, last-minute shift changes, and flexible assignments make reliable planning difficult.

Use Case

Fluctuating Staffing Needs in the Retail Sector

Seasonal business, promotional periods, and high-revenue weekends regularly cause significant fluctuations in staffing needs in the retail sector, which are typically met by temporary workers, part-time employees, or those working mini-jobs. For HR and planning managers, this can quickly become overwhelming. A typical scenario illustrates what really matters in practice.

Start of the Season – Time Tracking for Temporary Staff & Others

To kick off the seasonal business, a store hires five seasonal employees and several temporary workers in addition to its regular staff. Most of them work part-time - with varying weekly hours, individual availability, and fixed-term contracts.

Even before their first day of work, all employees are entered into the system, and their respective work schedules - such as 20-hour contracts, mini-jobs, and flexible seasonal agreements - are recorded. This allows them to digitally log their working hours.

On their first day of work, employees start at different times. Seasonal workers clock in in the morning using the app on their smartphones. Temporary workers use the tablet in the break room as a terminal. Part-time workers enter their shifts directly into the web application. All shifts are tracked centrally and in real time in the workforce management system.

Store managers can immediately see who is present and how staffing levels change throughout the day. In addition, managers can monitor compliance with maximum working hours and track overtime trends at any time. The software automatically notifies employees and supervisors of any deviations.

By the end of the month, all working hours, breaks, and overtime are fully documented. All premium pay is calculated automatically, so the data can be transferred directly to payroll.
